Terms and Conditions of Service

Elite Car Service & Airport Transfer Srl

1. Bookings

Bookings must be made in writing (via email or online form). The customer is required to carefully verify all service details and promptly communicate any corrections in writing. The service is considered confirmed only upon receipt of payment or according to the agreements specified in the quotation.

2. Payment Terms

  • The full amount must be paid within 7 days from the date of the service.
  • For bookings made less than 7 days in advance, payment is required at the time of booking.
  • For bookings made more than 7 days in advance, a 30% deposit is required upon confirmation, with the remaining 70% due within 7 days before the service date.

Any extra expenses (driver meals/accommodation, access permits, or other incurred costs) will be reported and must be paid upon receipt of the final balance.

3. Cancellation Policy

  • More than 7 days before the service: no penalty.
  • Between 7 days and 4 hours before the service: 50% penalty.
  • Less than 4 hours before the service: 100% penalty.

4. Booking Changes

Minor changes (time adjustments, address details, minor corrections) do not incur penalties. Changes that substantially alter the duration or nature of the service may result in additional charges, at the discretion of Elite Car Service & Airport Transfer Srl.

5. Waiting Time and Extra Charges

For airport pick-ups, a fixed fee of €10.00 + 10% VAT is applied, which includes 1 hour of free waiting from the scheduled flight time.

For all other services, 15 minutes of free waiting are included. After these limits, the following hourly waiting costs apply:

  • Sedan (up to 3 passengers): €60.00/h + 10% VAT
  • Van 6/7 pax: €70.00/h + 10% VAT
  • Van 8 pax: €80.00/h + 10% VAT
  • Minibus/Bus: €90.00/h + 10% VAT

6. Multi-Day Services

  • Driver’s meals and accommodation expenses are at the customer’s expense.
  • Any meals or overnight stays not included will be reported and invoiced afterwards.

7. Customer Responsibilities

  • Permits for ZTL (restricted traffic zones) and historic centers
  • Ferry boarding fees for vehicle/driver
  • Driver transportation costs (train, taxi, airline tickets, etc.)
  • Foreign motorway tolls, mountain passes, tunnels (e.g., Frejus, Mont Blanc)

Italian motorway tolls are always included in our prices.

8. Transport Conditions

  • Pets: allowed only with prior written authorization (guide dogs are always accepted).
  • Smoking: strictly prohibited onboard.
  • Seat belts: mandatory on all seats.
  • Behaviour: customers must behave respectfully towards the driver and vehicle. The driver may interrupt the service in case of inappropriate behaviour.

9. Driving and Rest Regulations

  • Maximum daily driving time: 9 hours
  • Break of 45 minutes every 4 hours and 30 minutes
  • Daily rest: 11 consecutive hours (reducible to 9 hours for up to 3 days per week, with recovery required)

10. Liability

Elite Car Service & Airport Transfer Srl will provide services professionally and punctually but is not responsible for delays caused by traffic, accidents, or force majeure, nor for loss or damage to personal belongings left inside the vehicle.

11. Insurance and Vehicle Maintenance

All vehicles are insured with coverage exceeding legal minimums and undergo regular maintenance. In case of breakdown, the company will arrange for immediate repair or vehicle replacement as quickly as possible.

12. Complaints

Any complaint must be reported immediately to the driver or operations manager. If not resolved, a formal complaint must be sent within 14 days from the service date to: info@elitecarservice.eu.

13. Billing

All services are traceable and invoiced. Electronic invoices or fiscal receipts can be requested at the time of booking or payment.

14. Safety and Comfort Onboard

All vehicles are regularly sanitized and equipped with air conditioning, Wi-Fi, and complimentary water. Drivers are certified NCC professionals trained to ensure discretion, courtesy, and safety.

15. Validity

These terms become effective upon service confirmation and are considered fully accepted by the customer. Quotations are subject to availability and may be updated based on final operational conditions.
